Simplifying WhatsApp Ads: Designing the Aisensy Ad Manager

About AiSensy

AiSensy is a WhatsApp Marketing and Engagement Platform designed to help businesses boost sales and enhance customer support.

Our platform enables users to broadcast bulk messages, automate notifications, and manage customer conversations through Live Chat and Chatbots, all on WhatsApp.

My Role: As a Senior Product Designer at Aisensy, I led the end-to-end design for a new, integrated Ad Manager feature within our web

app dashboard.

The Business Problem: Many of our users run "Click-to-WhatsApp" ads to start conversations and get new leads. But to do this, they

had to use Facebook’s complicated Ad Manager. This made the process confusing and time-consuming. Users had to jump between

two different platforms just to achieve one goal. For beginners, it felt too difficult, and for experienced marketers, it wasted a lot of time.

The Problem

Using Facebook Ad Manager to run Click-to-WhatsApp campaigns caused many problems for AiSensy users.


  • Fragmented Workflow: Users had to keep switching between AiSensy and Facebook Ad Manager to create and run ads. This back-and-forth was slow and often caused mistakes.

  • Hard to Learn: Facebook Ad Manager is powerful, but very difficult to use. Many small and medium business owners found it confusing. Because of this campaigns were often set up poorly or not at all.

  • Weak Audience Targeting: The best audience data like who bought a product, who got a broadcast, or who was recently active was already inside AiSensy. But to use it on Facebook users had to export a CSV and upload it manually. This was slow and the audiences quickly became outdated.

Design Goal

Our main goal was to make creating ads super easy. Instead of the usual complicated process, we built ad creation directly inside the AiSensy platform.

All in One Place: Do everything for Click-to-WhatsApp ads create, run, and manage them directly inside the AiSensy dashboard.

Easy Campaign Setup: A simple step-by-step guide helps anyone, even beginners make ads quickly.

Smart Targeting: Use your AiSensy data to build the right audience in just a few clicks.

Feature 1: The Audience Manager

Precise audience targeting is the key to a successful ad campaign. The Audience Manager helps users create highly targeted audiences using their real-time Aisensy data.

Key Design Decisions & User Benefits:

Diverse Data Sources
Users can build audiences from multiple inputs, directly connecting marketing activity with ad targeting.

Sources include:

Message Campaigns: Target based on who received or didn’t receive a broadcast.

WhatsApp Pay: Target by payment activity.

User Attributes & Last Seen: Filter with custom tags, attributes, or recent activity.

CSV Uploads: Upload external contact lists for flexibility.

Precision with Logic Filters
A powerful AND/OR filtering system lets users combine multiple conditions to create precise segments
Users who received the Diwali Offer AND were last seen within 7 days

Lookalike Audiences
Expand reach by creating Lookalike Audiences on Facebook, finding new people similar to top-performing customers.

Feature 2: The Create Ad Campaign Flow

This feature turns ad creation into a clear three-step flow, removing the confusion and complexity of Facebook Ad Manager.

Ad Creative: A clear stepper at the top keeps users on track and reduces mental load.

Seamless Audience Integration

Simplified Controls

In the Ad Set step users can pick a saved audience from the Audience Manager or create one instantly making the workflow smooth
and avoiding context-switching.

Only the most essential settings budget, schedule, placements, and creative are shown. Advanced options are hidden to avoid overwhelm
keeping the tool simple but powerful.

We followed a user-focused, iterative process to ensure the final solution was both simple and powerful.

Research & Discovery

Ideation & Wireframing

High-Fidelity UI & Prototyping

We interviewed 5 customers already running Click-to-WhatsApp ads. This helped us confirm assumptions and uncover pain points in the
current workflow. A competitive analysis of other marketing automation tools also guided our step-by-step design approach.

I mapped the full user journey and created low-fidelity wireframes for the audience builder and ad creation stepper.
Internal testing helped refine the flow and structure.

Using Aisensy’s design system, I built high-fidelity mockups and interactive prototypes. We tested them with a small user group to
spot and fix usability issues before development.

Impact & Outcomes

The launch of the integrated Ad Manager greatly improved user efficiency, adoption, and campaign results.

Time to create and launch a Click-to-WhatsApp ad dropped from 25+ minutes (across two platforms) to under 10 minutes within

Aisensy a 68% reduction.

Within three months 45% of eligible customers created at least one ad campaign, showing strong product market fit.

Using real-time first-party data led to better performance. One e-commerce client reported.

The new Ad Manager is a game-changer. Being able to retarget users who received a specific broadcast but didn’t click has improved
our conversion rates by over 20%. We now run all our WhatsApp ads through Aisensy.

Conclusion

The integrated Ad Manager turned a complex external process into a seamless feature within Aisensy. By simplifying workflows and enabling data-driven decisions we helped users save time, reduce effort, and achieve better ad results.

As the Senior Product Designer I led the full design lifecycle—from user research and strategy to pixel-perfect UI and close collaboration with engineering for smooth delivery. This feature not only solved a key user pain point but also strengthened Aisensy’s position as an all-in-one WhatsApp marketing solution.
